📖 Welcome! This manual will guide you through registering, logging in, uploading files, accessing lecturer materials, checking your scores, and recovering your password on the AAUA File Sharing System.
🎯 1. Introduction

The AAUA Faculty of Computing File Sharing System is a centralized platform designed to:

  • Allow students to submit assignments directly to lecturers
  • Enable students to access course materials uploaded by lecturers
  • 🆕 View scores and feedback on submitted assignments
  • Provide a secure and organized file management system
  • Facilitate seamless communication between students and faculty
✨ New in Version 1.5: Students can now check their scores directly from their dashboard! Simply click the ⭐ Check Score button on any file you've uploaded to see your score and feedback.
⚠️ Important: You must complete your profile with correct department and level information to see relevant lecturer files.
📝 2. Student Registration
Step-by-Step Registration Process
  1. Access the Registration Page
    • Navigate to the file sharing system website
    • Click on "Sign Up" or "Register"
  2. Fill in Account Information
    📧 Email Address: Use your institutional email (e.g., student@aaua.edu.ng)
    👤 Full Name: Enter your name as it appears on your student ID
  3. Provide Academic Information
    🎓 Matric Number: Your unique student identification number
    🔐 Password: Create a secure password for your account
    🔐 Confirm Password: Re-enter your password to confirm
    🏢 Department: Select from available options:
    • Computer Science
    • Cyber Security
    • Data Analysis
    • Information and Communication Technology
    • Information Systems
    • Software Engineering
    📊 Level: Select your current academic level (100-400)
  4. Submit Registration
    • Review all information for accuracy
    • Click "Register Now" button
    • Wait for confirmation message
✅ Registration Successful! You can now proceed to login with your email and password.
⚠️ Important Notes:
  • Ensure your department and level are correctly selected
  • Remember your password - it cannot be recovered without admin assistance
  • Use a valid email address for important notifications
🔑 3. Logging In
  1. Navigate to the login page
  2. Enter your registered email address
  3. Enter your password
  4. Click "Login" or "Sign In"
💡 Tip: If you forget your password, see the Forgot Password section below or contact the system administrator for assistance.
🔐 4. Forgot Password

If you forget your password, don't worry! Follow these steps to reset it:

📋 Steps to Reset Your Password:
  1. Go to the Login Page
    • Navigate to the file sharing system login page
    • Look for the "Forgot Password?" or "Reset Password" link below the login form
  2. Enter Your Email Address
    • Enter the email address you used during registration
    • Click the "Reset Password" or "Send Reset Link" button
  3. Check Your Email
    • Check your email inbox for a password reset link
    • If you don't see it, check your spam or junk folder
    • The link will be valid for a limited time (usually 24 hours)
  4. Click the Reset Link
    • Click the link in the email
    • You'll be taken to a page where you can create a new password
  5. Create a New Password
    • Enter your new password
    • Confirm your new password
    • Click "Save" or "Update Password"
  6. Login with New Password
    • Return to the login page
    • Login with your email and new password
    • If successful, you'll be redirected to your dashboard
⚠️ Important Notes:
  • Password Reset Link Expires: The reset link is only valid for 24 hours. Request a new one if it expires.
  • Check Spam Folder: If you don't see the email, check your spam or junk mail folder.
  • Contact Admin: If you still can't reset your password, contact the system administrator.
  • Use a Strong Password: Create a password that's easy to remember but hard to guess.
💡 Pro Tip: Write down your password in a secure place or use a password manager to avoid forgetting it again.
✅ Password Reset Successful! You can now login with your new password. If you still have issues, contact the system administrator for assistance.
🏠 5. Your Dashboard (Home Page)

After logging in, you'll see your student dashboard with the following sections:

Welcome Section

Displays your profile information:

  • Full Name
  • Email Address
  • Matric Number
  • Department
  • Current Level
Your Uploads Section

Shows all files you have uploaded, including:

  • File name and type
  • Department and level tagged
  • Course code
  • Which lecturer the file was submitted to
  • Upload date and time
  • File size
  • Your description/notes
  • 🆕 Score and feedback (if graded)

Actions available for your uploads:

  • View: Open the file in browser
  • Download: Save file to your device
  • Delete: Remove the file (with confirmation)
  • 🆕 Check Score: Click ⭐ Check Score to view your score and feedback
🆕 Score Checking Feature: Click the ⭐ Check Score button on any file you've uploaded. A popup will show:
  • Your score (if graded)
  • Feedback/comment from the lecturer
  • Who graded your submission
  • Or "Not Scored Yet" if still pending
Lecturer Uploaded Files Section

Displays files uploaded by lecturers that match your department and level:

  • Course materials
  • Lecture notes
  • Assignments
  • Past questions
  • Project guidelines

Note: The ⭐ Check Score button is only available on files you have uploaded (your submissions), not on lecturer uploaded files.

🎯 Smart Filtering: The system automatically shows you only files relevant to your department and level. Files marked "All Departments" or "All Levels" will also appear.
⚠️ Profile Warning: If your department or level is not set, you'll see a warning message and may not see lecturer files. Contact the administrator to update your profile.
📤 6. Uploading Files
How to Upload a File
  1. Access Upload Page
    • Click "Upload a File" button on your dashboard
    • You'll be redirected to the upload form
  2. Fill in File Information
    📄 File Title: Give your file a descriptive name
    📋 File Type: Select from: Assignment Submission, Project, Report, or Others
    🏢 Department: Auto-filled from your profile (cannot be changed)
    📊 Level: Auto-filled from your profile (cannot be changed)
    📚 Course Code: Enter the course code (e.g., CSC 201, CSC 301)
    👨‍🏫 Assign to Lecturer: Select which lecturer to submit the file to (REQUIRED)
    📝 Description: Add any notes or comments about the file
  3. Select File
    • Click "Choose File" or browse button
    • Select the file from your device
    • Supported formats: PDF, DOC, DOCX, PPT, PPTX, TXT, JPG, PNG, MP4, AVI, MKV
    • Maximum file size: 100MB
  4. Submit Upload
    • Review all information
    • Click "Upload File" button
    • Wait for upload to complete (you'll see a progress indicator)
    • Upon success, you'll be redirected to your dashboard
✅ Upload Complete! Your file is now stored securely on Cloudinary and the lecturer you assigned it to will be able to see it.
⚠️ Upload Requirements:
  • You must select a lecturer to assign the file to
  • File size must not exceed 100MB
  • Only supported file formats are allowed
  • Department and level cannot be changed (uses your profile settings)
⭐ 7. Checking Your Scores
🆕 New Feature in Version 1.5: You can now check your scores directly from your dashboard!
How to Check Your Score
  1. Go to Your Dashboard
    • Log in to your student account
    • You'll see your uploads in the "Your Uploads" section
  2. Find Your File
    • Locate the file you want to check
    • Look for the ⭐ Check Score button
  3. Click "Check Score"
    • A popup modal will appear
    • You'll see one of two things:
✅ If Scored:
  • Your score (e.g., "85")
  • Feedback/comment from lecturer
  • Who scored it
  • Date scored
⏰ If Not Scored:
  • "Not Scored Yet" message
  • "Your submission is pending review"
  • Keep checking back for updates
💡 Tip: The ⭐ Check Score button only appears on files you have uploaded. You won't see it on files uploaded by lecturers.
⚠️ Important: If you don't see the "Check Score" button, make sure:
  • You are viewing your own uploaded files
  • The file was uploaded after the scoring feature was implemented
  • You are logged in as a student
📥 8. Accessing Lecturer Files
How Files Are Filtered

The system automatically shows you files that match:

  • Your Department: Files uploaded for your specific department
  • Your Level: Files uploaded for your current level
  • All Departments/Levels: Files marked as available to everyone
File Information Displayed

For each lecturer file, you can see:

  • File name and type
  • Uploaded by (lecturer's name and email)
  • Target department and level
  • Course code (if specified)
  • Upload date
  • File size
  • Description/instructions from lecturer
  • Assignment badge (if it's an assignment)

💡 Pro Tip: Files marked "All Levels" are usually general resources, announcements, or materials useful across all year groups.
🔧 9. Troubleshooting
Common Issues and Solutions
Problem Solution
Can't see lecturer files • Check that your department and level are set in your profile
• Contact administrator to update your profile if needed
Upload fails • Check file size (must be under 100MB)
• Ensure file format is supported
• Check your internet connection
• Make sure you selected a lecturer
Forgot password • Use the "Forgot Password?" link on the login page
• Check your email for reset link
• Contact system administrator if issues persist
Not receiving password reset email • Check spam/junk folder
• Ensure you entered the correct email address
• Wait a few minutes and try again
• Contact administrator if still not received
Wrong department/level shown Contact administrator to update your profile information
File won't open/download • Check your internet connection
• Try a different browser
• Clear browser cache and try again
🆕 Can't see "Check Score" button • Make sure you're viewing your own uploaded files
• The file may not have been scored yet
• Contact your lecturer if you think a score should be available
🆕 Score popup not showing • Check that JavaScript is enabled in your browser
• Try refreshing the page
• Try a different browser

  • File Naming: Use clear, descriptive names for your uploads (e.g., "CSC301_Assignment1_JohnDoe")
  • Regular Checks: Check the dashboard regularly for new lecturer uploads and score updates
  • Timely Submissions: Upload assignments well before deadlines
  • Verify Uploads: After uploading, verify the file appears in "Your Uploads" section
  • Organize Files: Keep your local copies organized by course and date
  • Descriptions: Always add meaningful descriptions to help lecturers understand your submission
  • File Formats: Use PDF for final submissions when possible
  • 🆕 Check Scores Regularly: Keep an eye on your scores by clicking ⭐ Check Score on your uploaded files
  • Secure Password: Use a strong password and store it safely
